ARIZONA ROAD RACERS BOARD MEETING MINUTES FROM 9/27/06 BOARD MEMBERS PRESENT Louis Bolivar Gary Culver Phil Davis Lindsay Edmondson steve finklestein Sandra Fontaine Hal Gensler Jim Hoffmann Norm Janoff Sharon Ross GUEST PRESENT Burke Painter Mary Greer John Greer David Bluestein The Meeting was called to order at 6:39 P.M. Library Time The meeting agenda was adopted and minutes from previous meeting dates 7/26/06 and 8/23/06 were approved as corrected TREASURERS REPORT Hal Gensler reported a current bank balance of approximately $26,000.00 with $3500 in current expenses. In addition information relating to Club CD’s and their rates and maturity date information was given to the Board. The Club total bank balance is approximately $40,5000. A projected profit of $100 was reported from the Jerome Hill Climb and preliminary profit numbers from the I-Did-A-Run look great. MEMBERSHIP REPORT Norm Janoff stated a current membership number of 1688 members with 88 additional members last month. Norm will provide members with their new Hertz Rental discount member cards with new memberships and renewals. Other cards will be available to club members at club functions and events. As our new VP in charge of Membership, Norm is also busy working on a sponsorship benefit program for prospective interested parties who are approaching the Club. Board members are to provide Norm with a list of their perceived duties in order to compile a list of standard duties and examine ways some duties may be delegated to other club members. Norm discovered several families were receiving duplicate newspapers. He will send letters to multiple recipients. PRESIDENTS REPORT steve has finalized plans to time the State Cross Country meet on November 4th. The club is once again providing two timing clocks for the Race for the Cure. Timing equipment will be rented for Triathlon timing on Oct 14th. The Club will also chip time The Bisbee Stair Climb on Oct 21st. Steve stated early entry figures for The Grasshopper Bridge 5K look promising. The Club is going to offer a Halloween dinner and 5K fun run to it’s members at Victory Lane Sports Complex on Saturday evening Oct 28th. CLOTHING REPORT Sharon Ross our new VP of clothing started her tenure by reporting on her perception of duties as VP. She gave the Board a status report of current inventory and needs for new merchandise. The Board approved her pursuing involvement in the South Mountain Classic by Bosshead-Lite, ordering a negotiated number of knee bands, forming a clothing committee, pursuing a possible wholesale price for Road ID ankle bands for timing chips, and upgrading inventory of Tyvek jackets from Leslie Jordan and shorts and shirts from RaceReady. Sharon reported that Phil Davis is going to handle race day shirts and has already begun that process for the 20K and 5K as well as the Mad Dog race. Norm Janoff is going to help get names of potential clothing volunteers from the membership in the East Valley. EQUIPMENT REPORT VP of equipment Jim Hoffmann is having warehouse keys made for all newly elected Board members. The radio’s are repaired and working well. Numerous new signs and course markers are mounted and operational. Chip recovery signs will be introduced with the assistance of David "Running Red Hair" Bluestein. Jim is doing an excellent job with arranging loading of the trucks and organizing contents. ULTRA RUNNING Gary Culver our new VP of Ultra Running events reported all is well for Mazatzals Trail Run on Oct 22nd. He also stated a new course is necessary for this year’s Mad Dog event. Vista Del Camino Park will still be the location but the run will proceed South under McKellips Road and near Tempe Town Lake. Gary is finalizing all plans for Castle Hot Springs run. PROCEDURES REPORT Monique Coady VP of procedures will head a new by-laws review and revision committee with the assistance of Gary Culver and Phil. The diligent efforts of Steve Averill and his previous committee on by-law revisions will be reviewed and acted upon. NEW BUSINESS Princess Sandra Fontaine presented suggestions relating to our Halloween Fun Run and dinner for members at Victory Lane on Oct 28th. She received Board permission to pursue her ideas and Monique will assist with final details and publicity. There was discussion concerning ways to decrease the number of unreturned timing chips at races. Jim Hoffmann and David Bluestein are making signs to help people remember to return them. Gary Culver suggested sending an envelope with return postage to runners who have not returned chips. The meeting was adjourned at 9:00 PM.
