10/20/04 MEETING NOTES
Meeting was called to order at 6:30pm by Steering Committee Chairman, Jim Burgess.

COMMITTEE CHAIRMAN REPORTS
Registration Sandra Fontaine: Sandra reported that she has been working with Active.Com. She is entering all tournament registrations into Active.Com and then printing out the reports needed. She will be working with Membership Chairman to make sure that all I Did-A-Run entrants get entered into the club computer’s membership database.
Clothing Ian Thomas: Ian reported that he and Phil Davis will be doing an inventory of the clothing that the club has. He would like to update some of the clothing to the coolmax fabric. The committee will be selling clothing at various races.
Equipment Mark Bellm: Mark reported that the banner needed repairs before the South Mountain race. Jim asked the group that if anyone was handy with repairs and would be interested in repairing the banner to please see him after the meeting.
Special Events Louis Bolivar: No report.
Newsletter Adam Hunt: Adam reported that the next November/December issue was at the printers. The committee hopes to have the newsletter mailed out the following week. Adam also reported that the committee was looking a different format for the newsletter and also at an electronic version of the newsletter. Will keep the membership informed.
RACES
I-Did-A-Run Jim Burgess: Jim reported that the race was a success. When he took over the club, he found that the previous board had not secured the permits or the certificates of insurance for the race. With two weeks to put the race together, it came off very smooth. Jim reported that there were approximately 400 runners. He would like to thanks everyone who helped with the race.
South Mountain Classic Joe Galope: Joe reported that the race was coming along smoothly. He has been in contact with the Parks Director at South Mountain. There should not be a problem with the race coming off. The reason that the race had to change dates is that the trails are being repaved. During this time, the park would be closed to the public. Joe expects to have approximately 400 runners.
Thanksgiving Day Classic Ed Duba: Ed reported that the race course would be slightly different than in the past. He said that he has been measuring the course and getting the course design so he can get the permits from the various cities and the county involved. Ed also reported that they still need more volunteers especially on race day.
OLD BUSINESS
Officers and Other Club Business Jim Burgess: Jim reported that he will be keeping the steering committee in place until elections can be held. Jim reported that he would like to hold elections in the spring. Elections cannot be held until after two newsletters have gone out. First issue announcing elections and giving the membership time to submit names for the various offices. Second issue of newsletter, each candidate will be able submit a summary or resume for office seeking. In the interim, Jim Burgess would remain as President, Joe Galope said he would be Secretary. The other three remaining steering committee members would be board of directors. The membership present suggested that Jim appoint an interim treasurer. Jim will change the corporation papers to reflect these changes.

Jim also reported that at the present time we have more in bills than we have cash in hand. He feels that with the races coming up we have a good chance to get ourselves back in the black again.
NEW BUSINESS
Bylaws Jim Burgess: Jim reported that the felt that the bylaws needed to be reworked before elections were held. He would like to appoint a bylaw committee to review and revise the bylaws. If anyone is interested in serving on the bylaw committee, please contact Jim Burgess. It was suggested that construct a Policies and Procedures manual be put together.
Good of the Club Gloria Bellm: Gloria presented to the club information on how the club could earn some money by signing up with Albertson’s Saving Card. She gave Jim the information for him to look into.
