11/16/05 MEETING NOTES

Meeting was called to order at 6:32 P.M.

The meeting agenda for the evening was adopted and minutes from the 10/19/05 meeting were approved
as amended.

FINANCIAL COMMITTEE REPORT - Chairman Robert Huotari reported a current bank balance of $9160.25.
The South Mountain Classic event made a profit of approximately $1300.00. Hal Gensler is working
hard on the 2005 financial records as 2004 is near completion. Discussion followed relating to the
posting of past financial records on the web site and newsletter.

MEMBERSHIP REPORT - steve finkelstein delivered his monthly membership report. In addition he
mentioned certification questions with The South Mountain Classic that are being addressed by Bill
Strachan. steve received a questionable statement regarding a $75.00 permit fee for Mazatzals Trail
Run and he is researching this issue. The President also noted that Laura Nagy is working on a
revised membership form with a change of benefactors to be considered for approval by the Board.

CLOTHING REPORT - Ian updated The Board on clothing samples in hand and reported others are in the
mail for our consideration. The club currently has an abundant supply of shorts and long sleeve
cotton shirts. Ian will also contact Bill Strachan to perform maintenance on the club vehicles.

COMMUNICATIONS COMMITTEE REPORT - Louis reporting on the latest issue of The Road Racer mentioned
Copy Max was responsible for the delay in mailing. Pueblo Publishing will handle the mailing of
future issues. The non-profit mailing permit for our club at the Scottsdale Post Office has a
balance remaining. When this balance is expended a new permit will be secured at the Glendale Post
Office.

REGISTRATION REPORT - Sandra reported a significant number of volunteers to work registration for
our Thanksgiving Day Race. Pre-race entries indicate a turnout of at least 1200 runners.

OLD BUSINESS - Ian located an insurance program with USATF that will provide Director’s and
liability coverage for all present Board members and past Presidents. This program has a million
dollar limit and the premium is $600.00 per year. A motion to purchase this policy was made and
passed by a unanimous vote.

NEW BUSINESS - The yearly premium for collision and uninsured motorist coverage for the club
vehicles will cost $4000.00 in 2006. A schedule for future general dinner meetings for members will
soon be displayed on our web site. One of the clubs timing kits is in need of repair. The Board
elected to send Laura and Scott Nagy to the ChampionChip conference and they will hand carry the
timing kit for repair at that time. Laura also shared with the Board her many ideas to improve the
numbering system for bib numbers and possible permanent numbers for club members including chip
and non-chip owners.
